Reports to: Operations Manager, Blackheath Halls

Contract: Part-time (0.5 FTE 17.5 hours per week)

Salary: £20,147 pro rata (ie £10,073 per annum)

Main Duties and Responsibilities

We are looking for an enthusiastic part time Administration Assistant to assist with the smooth running of Blackheath Halls on an administrative level.

Acting as a first point of contact for the Administration office, dealing with enquiries in an efficient and polite manner
Responding to initial hire enquiries to advise about fees, facilities and availability
Arranging visits with hirers and potential hirers, and attending site visits (or arranging for another member of staff to do so)
Preparing and distributing contracts and invoices for performances and hires
Raising purchase orders and invoices
Liaising with selected external hirers, promoters, incoming artists/companies and staff to ensure a co-ordinated approach to events
Assisting with the booking and briefing of cleaning, security staff, page-turners and piano tunings
Assisting with HR and recruitment processes
Liaising with Performing Rights Society and completing quarterly returns
Researching and assisting with the development of potential programming ideas, in liaison with the Director and other members of the staff team
Supporting the Operations Manager to ensure the venue is kept tidy, safe and hazard free
Assisting with ensuring all Health and Safety records and processes are kept up to date and following procedures for fire, first aid, hazardous substances and security
Providing occasional administrative support for the Director and Operations Manager as required

 

General

Opening and closing the building as and when requested
Being familiar with and operating within BHH’s general rules, regulations and policies, including but not limited to those related to Health and Safety, Safeguarding, Data Protection and Equal Opportunities
Undertaking any other duties as reasonably requested by the Director
